The Jarvis Mansion Rental Contract

Booking Your Event Date
To hold a date, a non-refundable security deposit of 50% of your wedding package and a $100.00 non-refundable cleaning deposit should be delivered or mailed to:

The remaining balance of your fee must be paid at least 30 DAYS prior to the event and should be sent to the same above address. If the remaining balance has not been paid within 30 days prior to your event, we will make an attempt to contact you and collect the remaining balance. If your balance has not been paid within 15 DAYS of your event, we will consider that you have voided your part of the contract and your event will be canceled, unless prior arrangements have been made with a representative of the Jarvis Mansion.

Canceling Your Event
If you cancel your event less than 120 days prior to your event, the ENTIRE BALANCE will be owed. By signing this contract, you are agreeing to those terms. This gives us the right to charge your credit card for the remaining balance or contact a collection agency.

To cancel your event, you must mail a certified written letter addressed to the Jarvis Mansion. Your 50% deposit is non-refundable. There will be no refunds given to events cancelled less than 120 days before the event date.

Policies of the Jarvis Mansion
When the bride and groom EXIT, all guests must leave with the exception of any guests staying overnight! Please make all your guests clearly aware that when you leave they must leave. ALL EVENTS MUST BE OVER AT 10:00 P.M.(unless additional time is requested @ $100 per hour)! Extension of hours must be approved no later than 10 days prior with the Jarvis Mansion.

Vendors
All vendors must be approved by the Jarvis Mansion. The Jarvis Mansion should be notified of any meetings to be held on the property concerning your function. This includes outside meetings for tents. Please give 72 hours notice about any meetings that are scheduled at the property.

All planning meetings with vendors at the property are limited to 1 hour unless otherwise authorized by the Jarvis Mansion. We ask that you be considerate when you schedule these appointments and notify us about any cancellations.
Alcohol
All alcoholic beverages must be purchased through the Jarvis Mansion/Pollock Street Tavern. The Jarvis Mansion has beer, wine, and liquor permits. The Jarvis Mansion has the right to stop serving alcohol to any individual we feel is acting inappropriately due to consumption of alcohol.

The Jarvis Mansion and its employees are NOT responsible for the control of alcoholic consumption during an event at the Jarvis Mansion. This contract releases the Jarvis Mansion and its employees from any liability resulting from injury or death due to the consumption of alcohol during an event.

Music and Dancing
Any musician planning to perform at the Jarvis Mansion should speak with a representative of the Jarvis Mansion about their set-up requirements THE WEEK PRIOR TO THE FUNCTION.

Renter must discuss electrical needs with their band or DJ. Renter or musicians must provide adequate extension cords. THERE SHALL BE NO TAPE USED ON ELECTRICAL/EXTENSION CORDS INSIDE THE HOUSE OR OUTSIDE.

Exterior electrical/extension cords may be taped to brick only.

Renter or musicians must provide protection for floors when moving and setting up equipment. An authorized representative has the right to monitor and control the volume of music during the event.

Gifts (Including Cash Monies) and Lost Items
Gifts given to clients at the Jarvis Mansion or all left behind items are entirely the responsibility of the bride/groom and/or undersigned client. Signing this contract releases the Jarvis Mansion and its employees of any responsibility for loss or damage of all gifts and any lost and missing items. All items remaining longer than 72 hours from the end of the event are disposed of accordingly.

Children at the Jarvis Mansion
We request that you have all children supervised during your wedding and reception. This contract releases us from any liability of any children due to lack of supervision from a parent or guardian. Children running, horse playing or going unattended is not tolerated and may be requested to leave if their behavior disrupts the property of the Jarvis Mansion.

Parking for ALL events
Parking is available on the streets in New Bern and at the Craven County Tax office parking lot located beside the Jarvis Mansion. Please make your guests aware of the parking.

Restrictions and Obligations

  • No furniture may be moved without prior arrangements.
  • Smoking is prohibited in the house.
  • No long distance phone calls are to be made from the Jarvis Mansion.
  • No children under 16 are allowed upstairs without parental supervision.
    No children under 16 are allowed on the 2nd floor balcony.
  • Throwing rice, confetti or birdseed is NOT allowed. Throwing rose petals or blowing bubbles is permitted outside the house only.
  • Signs, banners, flags, etc. may not be hung by the renter anywhere on the property without special permission.
  • If food or liquids are spilled or anything gets damaged or broken, renter is responsible for any clean up, repair, or cost of the broken merchandise.

All tents shall be set up at least two hours prior to the event and NO tents should be set up that will damage the lawn or landscaping of the Jarvis Mansion.
ALL food and beverages that the renting party would like before, during and after the ceremony should be discussed in detail with the Jarvis Mansion at least 10 days before the event.

The agreement the renting party has with the Jarvis Mansion covers the time specified in the wedding packages. All events must be over by 10:00 p.m. unless you request longer time. Any additional time will be billed to the renting party at the rate of $100.00/hour.

Renter assumes any responsibility for accidents or injuries of themselves, guests or vendors. The Jarvis Mansion shall not be held responsible or liable due to the acts of God, natural disasters, power failures or fires preventing or limiting functions on or before the contracted date.

In the event of a hurricane, the Jarvis Mansion will not cancel your event unless evacuation orders have been given by the State of North Carolina. If mandatory evacuation orders have not been given, it is to the discretion of the client to cancel or reschedule their event. The Jarvis Mansion is also not responsible for any vendors that may cancel your event.
